Dental and med spa

An AI receptionist for dental offices and med spas

Your front desk cannot check a patient in, answer a ringing phone, and work the recall list at the same time. Something gets dropped, and it is usually the phone.

Why the calls get missed

One coordinator is doing three jobs. Patients are standing at the desk, the phone is ringing, and the recall list that quietly drives a large share of production never gets worked. Every unanswered call is a patient who books with the practice down the road instead.

What it handles on the call

  • New patient enquiries captured with insurance details before the first visit
  • Recall and reactivation calls worked outbound, not just inbound
  • Cancellations backfilled from a waitlist within minutes of the slot opening
  • Reminders that measurably reduce no-shows, without a manual chase
  • Clinical questions routed to a human, never answered by the system

Common questions

Is this HIPAA compliant?
It can be, and this is the right question to ask before anything else. It requires specific choices about vendors, where recordings and transcripts live, what is retained and for how long, and a signed BAA with each provider in the chain. We scope compliance explicitly before building, and if a component cannot be made compliant we do not use it.
Will it answer clinical questions?
No. That is a hard boundary we set deliberately. Anything clinical routes to a person. It handles scheduling, insurance capture, reminders, and recalls, which is where the lost revenue actually is.
Can it fill a cancellation?
Yes, and this is usually the fastest payback. When a slot opens it works your waitlist immediately instead of waiting for someone at the desk to notice. Same-day cancellations are the most expensive gap in a practice schedule.
Does it replace our front desk?
No, and we would not pitch it that way. It takes the overflow and the repetitive outbound work so your coordinator can look after the patient in front of them. Practices that treat it as a replacement get worse results than those that treat it as capacity.
